Privacy and cookie policy
When you request HØIBERG’s services or otherwise interact with us, we, HØIBERG P/S, (”HØIBERG”, ”us”, ”we”, ”our”) are your data controller, and we therefore collect and register your personal data.

Our privacy and cookie policy describes how we use cookies and how we collect and process your personal data when you are our client, subscribe to our newsletters, sign up for and participate in our webinars or other events, and/or contact us in other ways. Our use of cookies complies with current EU regulations governing the use of cookies on websites, for example the executive order on cookies and the General Data Protection Regulation (”GDPR”).
Some of our services require that your data is correct and updated, and we therefore request that you inform us of any relevant changes in your personal data. Please use our contact details above or communicate the changes directly to your usual contact person at HØIBERG.
When you contact us
If you contact us, we process your contact details, such as your name, address, email address, telephone number, title, company name, company address, etc.
We process this information to offer the best possible service and response to your inquiry, and the processing is necessary for the purposes of these legitimate interests (Art. 6(1)(f) of the GDPR).
We retain your data for as long as it is necessary in order to respond to your inquiry. When you have received our response, we still retain your data for a certain period to the extent that it is necessary to document the advice/counselling we have provided. If your inquiry is part of an ongoing client relationship, we retain your data as described below in ”When you are HØIBERG’s client”.
When you are HØIBERG’s client
When you or your company request our services, we process your contact details, such as your name, address, email address, telephone number, title, company name and address, and possibly nationality. If the services requested relate to a patent and/or design application, we additionally process the inventor’s name, company or personal address, and nationality.
We process this information in order to provide counselling in accordance with our contract and to comply with the patent authorities’ requirements relating to for instance a patent application. This processing of data is necessary for our performance of a contract (Art. 6(1)(b) of the GDPR).
Data related to patent applications is retained for up to 31 years from the filing of the patent application. Other information is by default retained for five years from the expiry of the year in which our services were provided. After this period, the data is deleted.
When you subscribe to our newsletters
When you subscribe to our newsletters, we process your name and email address.
We process your data for the purpose of sending you newsletters. The processing of data is based on the consent you give by subscribing to our newsletters (Art. 6(1)(a) of the GDPR). You can withdraw your consent at any time by sending an email to hoiberg@hoiberg.com or by unsubscribing directly in one of our newsletters.
We retain your data until you withdraw your consent, after which we delete it.
When you sign up for our events, courses or webinars, including our Academy
When you sign up for our events, webinars, courses, etc., we collect your name, telephone number, email address and the name of your company.
We process this information to be able to administer and hold these events and to communicate with you about the events, for instance to send you course material and certificates of attendance. The processing is necessary for the purposes of these legitimate interests (Art. 6(1)(f) of the GDPR). The processing may also be necessary for our performance of an agreement concerning your participation in an event held by us (Art. 6(1)(b) of the GDPR).
If an event is held virtually, for instance via Microsoft Teams, the name you log in with will be visible to the other participants. The same applies to your comments in the chat.
We retain your information until the event has been held and for up to three months after. If the event consists of a series of events, we retain your information until the final event has been held and for up to three months after its completion.
Recipients of your personal data and disclosure to third parties
We process your personal data confidentially and only disclose it to third parties without your consent when patent legislation in and outside the EU requires it, for instance as part of a report to an authority or where disclosure is necessary to pursue the objectives mentioned above, for instance the filing of patent applications.
We only use your personal data for marketing purposes if you have explicitly given your consent, unless the law permits us to contact you without prior collection of such consent.
Data processors
We have high safety standards. This also applies to the protection of your personal data, and we have a number of internal processes to ensure that we live up to our standards.
We use data processors to process your personal data on our behalf and on our instructions. These data processors are subject to confidentiality and guarantee to have taken the appropriate technical and organisational measures complying with current legislation.
We have written agreements with all data processors processing personal data on our behalf.
Transfer of data to countries outside the EU/EEA
We only transfer your personal data to countries outside the EU/EEA when necessary, for instance when filing a patent application in such a country. If a transfer of data out of the EU/EEA is necessary, the transfer takes place in full agreement with the requirements of the relevant data protection law.
Your rights
When we process your personal data, you have the right to:
- request access to, correction or deletion of your personal data;
- limit the processing of your personal data;
- oppose the processing of your data (e.g. in relation to direct marketing);
- withdraw your consent for processing of your personal data by writing to hoiberg@hoiberg.com (Withdrawal of your consent has no impact on the legality of the processing prior to the withdrawal);
- request to receive your personal data in a structured, commonly used and machine-readable format (data portality); and
- file a complaint about our processing of your personal data to the Danish Data Protection Agency (for more on filing of complaints, click here).
Your ability to practice certain of your rights may, however, be limited in order to safeguard the privacy of other people, business secrets and/or intellectual property rights.
Cookies
We use our own and third-party cookies to obtain information about the use of our website. A cookie is a small piece of information which is sent to your browser from a webserver and stored on your device.
In addition to necessary cookies, we also use statistics cookies. Necessary cookies help make our website usable by for instance enabling basic functions like page navigation, access to secure areas of the website, etc. The website cannot function properly without these cookies. Statistics cookies help us understand how visitors interact with our website by anonymously collecting and reporting data.
